Who are we?

Verbio (a registered trademark of Oregon Translation, LLC) is a multi-cultural consulting language and communications company, with registered address at 12725 SW Millikan Way Suite 300, Beaverton, OR 97005. We primarily help businesses and government agencies communicate with their global customers and supply chains through the provision of language, multimedia, and multi-cultural consulting services including but not limited to: cultural consulting on marketing campaigns, written translations, spoken and sign language interpreting, audio recording and subtitling, plus localization of websites and eLearning materials. A small fraction of our customers are individuals requesting translation of personal documents.

How do we collect information from you?

We obtain information about you when you use our website(s) (including our secure customer and vendor portals), when you contact us about services or apply for employment, when you submit information requests and supply documents or other attachments, when you pay for services or if you register to receive one of our periodic newsletters.

What type of information is collected from you?

The personal information we collect might include your name, company name, title, telephone number, address, email address, IP address, and information regarding what pages are accessed and when. You may also send us source or reference materials when you request services. If you purchase a service from us, your card information is not held by us. Information Verbio maintains in association with your customer account may include your username, password, payment history, project records, customer support inquiries and documents or attachments for processing projects.

How is your information used?

We may use your information to:

• process orders that you have submitted;
• to carry out our obligations arising from any contracts entered into by you and us;
• process a payment that you have made;
• seek your views or comments on the services we provide;
• provide customer support and/or service;
• notify you of changes to our services;
• send communications you have requested and/or may be of interest to you. This may include information about promotions of our associated companies’ goods and services;
• process a job application (as employee or contractor).

We regularly review our retention periods for Personal Information. We are legally required to hold some types of information to fulfill our legal and fiscal obligations, but in such circumstances, we shall only process and hold such Personal Information reasonably necessary for purposes of archiving. Otherwise, we will only hold your Personal Information on our systems for as long as required for the relevant activity, or as long as is set out in any relevant contract you hold with us.

Marketing partners: We will not share nor sell your information to third parties for marketing purposes.

Third-Party Service Providers working on our behalf: We may pass your information to our third-party service providers, agents, subcontractors and other associated organizations for the sole purpose of completing tasks and providing services to you on our behalf. When we use third party service providers, we shall disclose any subsequent transfer of your Personal Information necessary to accomplish the scope of work you have requested and give you an opportunity to object.  If permitted, we shall only disclose the Personal Information that is necessary to deliver the requested service, and we have contracts in place that require third parties to keep your information secure and confidential. We do not release your Personal Information to third parties beyond Verbio, unless (i) it is necessary to complete our work for you, and you have consented, (ii) you have requested us to do so, or, (iii) we are required to do so by law. In the unlikely event that a third party engaged by Verbio to process your Personal Information is unable to uphold its responsibilities to safeguard and keep your Personal Information strictly confidential consistent with the Privacy Shield Principles, then Verbio shall be ultimately responsible for remedying any issues.  When you pay via credit card, your payment is processed by a third-party payment processor, who specializes in the secure online capture and processing of credit/debit card transactions. Your choices

Verbio takes your privacy seriously and will only use your Personal Information to administer your account and to provide the products and services you have requested from us.  In exchange for receiving your Personal Information, Verbio will give You the choice to consent or instruct Verbio to refrain from using your Personal Information for: (i) Verbio’s retention of your Personal Information for a purpose that is materially different from the purpose(s) for which it was originally collected, and (ii) Verbio’s disclosure to a third party, whether or not that third party is acting as an agent to fulfill Verbio’s services.  In the event that your Personal Information consists of “Sensitive Information,” i.e., Personal Information specifying medical or health conditions, racial or ethnic origin, political opinions, religious or philosophical beliefs, trade union membership or information regarding your sex life. However, from time to time, we would like to contact you with details of other language-related services and/or special offers that we provide. How you can access and update your information

You have the right to ask for a copy, to correct, to amend, to transfer to another party, or to delete any of the Personal Information Verbio holds about you. Security precautions in place to protect the loss, misuse or alteration of your information

When you give us Personal Information, we take steps to ensure that it’s treated securely. For this reason, we do not accept credit card payment across the Internet at this time. We work to protect your Personal Information once it is within our network, but we cannot guarantee the security of any information you transmit to us using unencrypted email or public websites and you do so at your own risk. Where we have given (or where you have chosen) a password that enables you to access certain parts of our websites, you are responsible for keeping this password confidential. Information submitted through our secure customer or vendor portals is encrypted and protected with 128-bit SSL encryption.  In addition, Verbio requires its third-party service provides to handle and store all Personal Information with an equivalent level of physical and digital security as Verbio.

We may analyze your Personal Information to create a profile of your service interests and preferences so that we can contact you with information relevant to you. We may make use of additional information about you when it is available from external sources to help us do this effectively.
